Collections from the Postroom
Make sure the addressees collect their mail by emailing them!
Don't let uncollected mail build up unnecessarily!
There are basically two systems of dealing with internal mail. The mail is either collected from the post room or delivered to the receivers desk. In the PASS Mailroom system you automatically email people when their packages arrive and you log them into the post room. Where mail remains uncollected you can then retrieve a list of all uncollected mail and email them all again as a batch.
Barcode labelling, USB Barcode scanning and electronic signatures are all part of the system. Where the system needs to be a mixture of collection and delivery by porter then a PDA is used to record the delivery
Listing the recipients
All the recipients (addressees) can be imported from a file or integrated with your email contacts. You can have many additional fields in the right panel giving fuller details about the recipient such as mobile number, home address etc depending on your GPR policy.
Details about the mail items
These are the basic details you will see displayed against each item. However the panel is fully configurable so that you can add many more details. In the top panel you will see a signature: this is the signature of the recipient that is captured when the item is collected.
Here is a sample of the undelivered mail report. reminder emails can then be sent out as a batch.
