The actual recording of the checks needs to be don by scanning a barcode or tag. Permanent barcode labels will normally be the most suitable but where these are difficult to fix or find then RFID tags can be subsituted. The scnning process is the same.

You can have the Health and Safety compliance items on a separate database from other maintenance so that, for example, the personnel running the building maintenance system can have their own database and the health and safety systems team have a separate one all on the same software licence.
