Stock shrinkage in the warehouse

There will always be stock shrinkage as products get damaged or lost. There is also the problem of stock shrinkage where unexplained differences in physical and theoretical stock appear. Managing warehouse shrinkage is a vital part of cost analysis to maintain margins and control pricing. A good stock control program should be able to track at least some of the losses. particularly in respect of damaged or destroyed stock. Shrinkage due to pilferage or mismanagement of the picking and issue system is harder to pin down.

In PASS Stock we record the incoming goods with internally generated batch numbers so at least when doing stock takes you will know which batches have gone missing and the date they came into stock. We also use batches in the picking system so that when goods go out of the warehouse we know what batches should be in stock and what has been dispatched to the customer. This enables the analysis of the shrinkage to narrow down the problem. Often it will be issue of stock without a corresponding data record but if you do regular checks then the problems will surface and corrective action can take place.

What causes stock shrinkage

Just one wrong digit in the stock code  will cause an apparent stock loss in any of the following:

  1. Mistakes in recording stock movements - in or out.
  2. Mistakes in recording jettisoned out of date stock
  3. Mistakes in recording quarantine stock
  4. Mistakes in recording damaged stock

This is why barcodes are so vital to a system. The barcode scan is always accurate.
They also have the added advantage of speed compared to manual recording methods.

How to solve the problem of stock shrinkage

  1. Put barcodes on all the locations - The location barcode. Many products cannot have barcodes on them so in these instances you can put the product barcode in or near the storage location.
  2. Put barcodes on all the products - The product barcode. The product codes can be the supplier product barcode or your own internal stock code. These can be printed at the point of receipt and added to the out packing of the product. 
  3. Have batch numbers to achieve traceability. To avoid double work you can add these to the stock code barcodes at point of entry to the warehouse

Once you have the identities on your products you have the basics of a tracking system so that at least you can identify where your  stock is going missing.
